Privacy Policy
This policy explains what HIVE VANTAGE, LLC ("HiveVantage", "we") collects, why, and what you can do about it. It covers hivevantage.com and the review-automation service we provide to business customers.

Two different roles
We handle personal information in two distinct capacities, and your rights differ depending on which applies:
- As a controller — for people who visit this website or enquire about our service. We decide what to collect and why.
- As a processor — for the customer lists our business clients upload so we can request reviews on their behalf. That data belongs to our client. We act on their instructions and do not use it for our own purposes. If you received a review request and want your details removed, contact the business that served you; we will also action it if you contact us directly.
What we collect
Information you give us
- Email address, when you submit a form on this site.
- Which form you used (hero or closing call-to-action), so we know what prompted you.
- Name, business details, phone number and billing information if you become a customer.
- Anything you tell us during a booked call or by email.
Information collected automatically
- Pages visited, referring source, approximate location derived from IP address, device and browser type, and interactions with the site. This is collected by a GoHighLevel tracking script. See our Cookie Policy.
Information our clients provide about their customers
- Customer names, email addresses, phone numbers, and service history — imported from the client's CRM or uploaded directly, so review requests can be sent.
Why we use it
- To answer enquiries and provide the service.
- To send review requests and reminders on behalf of our clients.
- To bill customers and keep financial records.
- To understand which parts of the site lead to enquiries.
- To meet legal obligations.
We do not sell personal information, and we do not share it for cross-context behavioural advertising.
Text messages and your mobile information
We do not share, sell, rent or otherwise provide mobile phone numbers or SMS consent data to third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent are excluded from every category of sharing described in this policy — including disclosure as part of a business sale or merger — and are not shared with anyone for marketing purposes.
The only parties that ever handle a mobile number are the service providers we use to operate the messaging itself, listed under Who we share it with. They process it on our instructions, solely to deliver the messages, and may not use it for their own marketing.
Messages HiveVantage sends you
If you give us your mobile number and agree to receive texts, we may send account and onboarding notifications, replies to enquiries you send us, and occasional service updates.
- You opt in by ticking the SMS consent box on a form on this site, or by giving express written or verbal consent. The box is never ticked for you, and agreeing is never required to submit a form.
- Message frequency varies.
- Message and data rates may apply.
- Reply STOP to any message to opt out immediately. You will get one final message confirming it, and nothing after that.
- Reply HELP for assistance, or email info@hivevantage.com.
- Carriers are not liable for delayed or undelivered messages.
- Consent to receive marketing texts is never a condition of any purchase.
Messages sent on behalf of our clients
If you received a review request, it was sent by HiveVantage on behalf of a business you dealt with. That business is responsible for having obtained lawful consent from you before your details were loaded into our system — this is set out in our Terms of Service. Replying STOP stops those messages immediately. You can also contact that business directly, or us at info@hivevantage.com, to have your details removed.
Who we share it with
We use these processors, each of which may store or handle personal information on our behalf:
- GoHighLevel (LeadConnector) — CRM, automation, SMS and email delivery, website visitor tracking.
- Netlify — website hosting and form submission storage.
- Mailgun — email delivery.
- Google — web fonts, and the Google Business Profile APIs used to read and respond to reviews.
- Stripe — payment processing.
- QuickBooks — accounting and bookkeeping.
We may also disclose information where required by law, or as part of a business sale or merger — in either case excluding mobile numbers and SMS consent data, which are carved out as described above.
How long we keep it
- Enquiries that do not become customers: 24 months from your last contact with us.
- Customer records: for the life of the account and then as long as tax and accounting law requires.
- Client-uploaded customer lists: for the life of the client's account. On termination we delete or return them within 30 days.
- Website analytics: as retained by GoHighLevel under their own schedule.
Your rights
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, and to opt out of marketing. California residents have specific rights under the CCPA/CPRA, including the right not to be discriminated against for exercising them.
Email info@hivevantage.com and we will respond within the period the applicable law requires. We may need to verify your identity first.
Security
We use reputable vendors and restrict access to personal information to those who need it. No system is completely secure, and we cannot guarantee absolute security.
Children
The service is for businesses. We do not knowingly collect information from anyone under 18.
Where your information is held
We currently support businesses in the United States, Canada and Mexico. Information is processed in the United States.
Changes
We will update this page when our practices change and revise the date at the top. Material changes will be notified to customers by email.
